Privacy policy
Last updated October 19, 2026
Nodfolk makes software that gyms use to run their business, and an app their members use to manage a membership. This policy explains what information we collect, why, who we share it with, and the choices you have. If you have a question, email [email protected].
Who is responsible for your information
When you join a gym through Nodfolk, that gym decides which plans it offers and uses your information to run your membership. Nodfolk stores and processes that information for the gym, and also uses some of it to run your Nodfolk account. Questions about your membership itself (prices, access, refunds) are best sent to your gym. Questions about this policy or your Nodfolk account can come to us.
What we collect
- Account details: your email address, which we use to send sign in codes, and your first and last name.
- Optional details: a phone number and any notes you choose to share with gym staff, such as an accommodation you would like them to know about.
- Membership activity: the gyms and plans you join, your membership status, plan changes, freezes and cancellations (including an optional reason), check ins (date, time, location and method), and class or amenity bookings.
- Payments: payments are handled by Stripe. Nodfolk never sees or stores your full card number. We keep the records Stripe sends back, such as payment status, amounts and dates.
- Technical information: our hosting providers keep standard server logs, such as IP address, device type and the time of a request, to keep the service secure and working. Your sign in is stored on your device so you stay signed in.
- Website requests: if a gym owner asks for a demo on nodfolk.com, we keep the details they send (name, email, gym name and message).
What we do not do
- We do not sell your personal information or share it for advertising.
- We do not track you across other companies' apps or websites.
- We do not show ads in the app.
How we use information
- To sign you in and keep your account secure.
- To show your membership, pass and bookings, and to let you join, switch, freeze or cancel a plan.
- To let your gym's staff check you in, see your membership status and run their business.
- To process payments through Stripe.
- To send messages about your account and membership, such as sign in codes and confirmations.
- To fix problems, prevent abuse and improve the service.
- To meet legal, tax and accounting obligations.
Who we share it with
- Your gym: the gyms you join see your name, contact details, notes you choose to share, membership activity and check ins. A gym only sees members of that gym.
- Service providers that run parts of Nodfolk for us, under agreements that limit how they use the data: Supabase (database and sign in), Stripe (payments), Resend (email delivery), and Cloudflare (website and email routing).
- Apple and Google, only if you add your membership pass to Apple Wallet or Google Wallet. The pass shows your name, gym, plan and check in code.
- When required by law, or to protect the safety and rights of members, gyms or Nodfolk.
- If Nodfolk is sold or merged, information may transfer to the new owner, who must keep honoring this policy.
How long we keep it
We keep your information while your account is open. When you delete your account, we erase your name, email, phone number and notes, and remove your sign in. Your gym keeps an anonymous record of past memberships, visits and payments, shown as "Deleted member", because it needs those for its business, tax and accounting records. Backup copies are overwritten on a rolling schedule, usually within 30 days.
Your choices and rights
- See or correct your information: your details are shown in the app. Email us to correct anything you cannot change yourself.
- Delete your account: open the app, tap Account and settings, then Delete my account. You can also follow the steps on our delete your account page.
- Get a copy of your information, or ask any other privacy question, by emailing [email protected] from the email on your account.
Depending on where you live, including Texas, California and other states with privacy laws, you may have additional rights to access, correct, delete or get a copy of your information, and to appeal a decision we make about a request. We will not treat you differently for using these rights. We answer requests within 45 days.
Security
Information is encrypted in transit, access is limited by security rules in our database, and gym staff only see members of their own gym. No system is perfectly secure, so please tell us right away at [email protected] if you think your account was misused.
Children
Nodfolk is not meant for children under 13, and we do not knowingly collect information from them. Members under 18 should use Nodfolk only with a parent or guardian's permission and as their gym allows. If you believe a child under 13 gave us information, email us and we will delete it.
Where information is stored
Nodfolk is based in Fort Worth, Texas, and your information is stored in the United States.
Changes to this policy
If we make important changes, we will update the date at the top and tell you in the app or by email before the change takes effect.
